How Much Does a Coffee Cart Rental Cost?

2026 US price guide — what you actually pay, and why two quotes for the same event can differ by hundreds of dollars.

The short answer

Coffee cart operators in the US quote per event, never per cup. You are buying a barista's time, a machine, and a menu for a set number of hours. That is why the same cart can cost $400 for a two-hour birthday and $1,800 for a six-hour wedding reception.

Across the operators listed in the cities we cover, bookings usually land in one of three bands:

Event typeTypical serviceTypical US range
Private party, office morning1 barista, 1.5–2 hours, espresso + drip$350 – $700
Wedding, corporate event1–2 baristas, 3–4 hours, full menu$700 – $1,500
Large or premium event2+ baristas, 4+ hours, pour-over / cold brew bar, branded cups$1,200 – $2,500+

These are typical ranges, not quotes. Every operator sets their own rate, and prices vary by city — a Manhattan high-rise is not a Brooklyn backyard. The businesses listed on our city pages publish their own packages; ask two or three of them for a quote on the same brief and compare.

What actually drives the price

How to get comparable quotes

Send every operator the exact same brief. If you send vague "how much for a coffee cart?" messages you will get five different packages and learn nothing.

  1. Date and service window (for example: Saturday, 8pm–11pm).
  2. Exact address and where the cart will stand — indoors or outdoors, floor, power access.
  3. Guest count.
  4. Menu you want, and whether you want a barista serving to order or a self-serve station.
  5. Anything the venue requires: insurance certificate, load-in window, vendor form.

Then compare the quotes line by line: hours, number of baristas, drinks per hour, whether cups and syrups are included, and travel. The cheapest headline number is frequently the one that excludes a second barista.

Is a coffee cart cheaper than a coffee bar?

Usually yes. Hiring a cart for a few hours costs less than building or staffing a fixed coffee bar, and it removes the equipment, the consumables and the staffing problem from your plate. It is also why coffee carts have replaced dessert tables and coffee stations at weddings: one line item, one vendor, and guests get a drink made for them instead of a thermos on a table.

What about buying instead of renting?

If you are planning more than a couple of events a year, buying a cart is a different calculation. The operators on this site mostly started with a single cart, and their websites are the honest place to ask what it took — several of them describe their setup, equipment and menu, and they are the people actually running the business.
